Here are some answers to Frequently Asked Questions about Plans.

How does your subscription model work?
Here is how it works. First and foremost, we are assuming that you have done your research and have selected edX or rather Open edX for your learning management system and course authoring.
In this journey, you have noticed that there are two main options and some in between. In one hand, there is on-premise deployment of Open edX. You need to invest on hardware and technical know how and fully deploy and customize a fully functional platform for your institute.
On the other side, there is SaaS based and fully managed deployment. edSPIRIT is this. You do not need any hardware or know how investment in order to deploy Open edX. edSPIRIT takes care of all these and creates a fully functional instance in the cloud in at most 20 minutes. It takes care of updates and technical support.
edSPIRIT instances are offered on a subscription basis. You will start by selecting a plan. There are two plans with varying number of features. These are called Starter and Premium. The third plan, Enterprise, is for large institutions such as a Ministry of Higher Education or a School Board who might require lots of features and customizations.
As far as we are concerned a Starter plan is sufficient for most small to medium size institutes. If you are mid to large size institution or need some of our extra features, then you can opt for the Premium plan.
Both plans offer monthly or Annual subscription which also determine your billing cycle. The billing cycle starts on the day your instance is created. You can always cancel your subscription before your billing cycle ends.
Who is an active user?
edSPIRIT distinguishes between “registered users” and “active users”. Your learning system can take any number of registered users who can login and browse list of courses. Active users are those users who have registered in one or more courses in a billing cycle. These are considered as active users in that cycle.
How do actives users affect pricing and what if our active users change?
We have tiered number of active users as shown in the slider on top of the plans. So they start from 50, then go up. You will need to decide how many active users you will have when you choose a plan. To be clear, a tier such as 50 means number of active users up to and including 50.
Our billing has two parts: a plan based billing, and a surcharge billing.
Plan based billing is a prepayment of a flat fee at the beginning of each cycle (month or year). If you are on a monthly plan, your credit card will be charged a flat fee for your plan starting from beginning of month 1, and so on. Similarly, if you are on an annual plan, you will pay for your annual subscription at tthe start.
Surcharge billing is a post payment of a variable fee, if any, for any overage during a month. In both plans you may be charged a fee for an overage in any month. The surcharge of each month is billed at the end of that month, in both monthy and annual plans.
The surcharge fee is currently $2.5 per overage active user per month
Do you offer free plan?
Yes, our starter plan with a maximum of 50 active users is free of charge. You can use this indefinitely.
Why do you take credit card for free plan?
When you use the starter plan with up to 50 active users, it is free and so long as you do not exceed this limit, it will stay free.
However, if you exceed the max allowed active users in the free plan, then similar to all other cases, we will bill you for the overage at the end of each month.
What if I do not use my freely created instance?
Our customer success team are there to make sure you have simple and easy onbiarding and use your instance well.
However, if for any reason you decide not to use your free plan, here is what is going to happen to it:
- If a free instance is not used for 3 months and no one has logged ito it, the site will be suspended. Data is preserved and you can always request us to activate it.
- If a site is suspended for 3 months, it will be completely deleted.
- In all cases, you are responsible for paying all your dues.
How does change of plan work?
You can switch plan between “Starter” and “Premium” or adjust your active user limit any time. This will put you in the new plan and/or tier right away. Your billing will be prorated and be based on the new status from the date of change. Your credit card may be charged right away if your new plan and tier is more expensive.
Can I cancel and what happens if I cancel?
Yes, you can easily cancel your subscription before your billing cycle and continue to enjoy the product until the end of the cycle.
Once you cancel, and at the end of the billing cycle, your credit card may only be charged for any owing fees due to exceeding active users or other surcharges. All accesses will be suspended. So our recommendation is that you export all your courses before this happens.
Upon suspension of access and for a period of three months, we will continue to hold your instance in a paused status. No one has access to it, but you can always resume your subscription. Once this period is up, the whole data will be removed.
What if my credit card is denied during any billing cycle?
We will be retrying your card, but if it fails repetitively, we will email you and ask you to remedy that.
If the payment is not done within three months, then your instance will be put to suspension stage. Your data will be preserved and you can alway activate it.
Three months after suspension, your site will be completely removed.

How long does it take to create my site?
